The program was actually designed to promote the brand name and products of Keya Group. Thus, a motivational blueprint has been produced to inspire the young generation.
Our target location was United International University, dhanmondi-15, Dhaka-1207. To apply the plan, we have made a tentative scenario included with a tight program schedule. Our aim was to complete the whole program within a day. Therefore, it was really very challenging and imposed a high pressure on responsible volunteers. But amusingly the event was remarkable and had left a positive impact.
First, we conducted several conferences and group discussion on how the event is reasonable and what can be done so that we can get proper payoff through inspiring the young generation. Also, we thought about authority approval, effective promotional way, needy man-force, financial cost & budget and a time-table of the entire event.
After getting the inspiration of honorable authority of’ Keya Group’ we dropped a proposal letter on 28th January, 2016 to the ‘Career Counseling Center’ include with the program schedule and a list of things (furniture, Auditorium, Conference room, Computer Lab, Store room) and volunteers that was necessary to run the events and they responded positively in honor of ‘Keya Group.’
The event was planned on 17th February, 2016 and everyone was busy with making list of necessary things as like T-shirt, ID cards, Crest and other gifts banner, leaflet, electronic, multimedia, snacks, presenters, chief guests, distinguished guests, special guests and so on.
We have separated the whole event as follows:

On 16th February, 2016, we finished our whole preparation concentrating on a checklist and decorated our 8.8” size stall at UIU campus.
Now it’s 17th February, 2016 and was times to implement all of those we have thought and struggled for. Our HR, Marketing, Graphics, Intern and officers from other department were at UIU campus at 9.30 am.
Conference started in time and our Honorable COO Sir and Honorable GM Sir who attended the conference and honorable COO Sir has given his welcoming speech. There were so many students who have attended the seminar and huge respondents we faced within a short time. Leaflets of ‘Keya Group’ were distributed among the attendees and they were experienced about the rules and regulations to participate on the group discussion, case study and case presentation.
After conference, registered attendees have been taken for a group discussion. We selected 5 groups of students and each group consisted of 5 members. Our responsible staffs, interns and volunteers guided them in a proper way and clarified any confusion. All the groups were asked to give a team wise marketing plan. All the groups submitted their task individually and in a proper way.
They were given a case study on ‘Chapstick’ and asked to design a presentation on it after lunch and at the conference room. The programs ran very smoothly and just as per the plan. After the lunch break, individual groups were shown our present TVCs on cosmetics and toiletries. They were asked to analyze the TVCs and each individual representative from each team explained their point of view about the TVCs of “Keya Group” and presented on the overall case study.
At the end, we arranged a prize giving ceremony. We selected a group as champion and each of five members of that group was honored by a certificate. Moreover, we selected 1st runners-up, 2nd runners-up and selected the remaining two groups as participators. Each of the group members got a certificate as per their performance and a gift-bag by ‘Keya Group’ has been offered for each of the members of champion, 1st runners-up and second runners-up groups.
Moreover, we handed over a crest to The Honorable Vice Chancellor, United International University on behalf of ‘Keya Group.’ United International University also handed over three crests in honor of ‘Keya Group.’
Our Information and Registration stall remained open from 10.00 am till 5.00 pm. Overall, the whole day was with full of stress and responsibilities. But it was really amusing and we are thankful to UIU authority and volunteers who have accompanied with us to make the event successful.
Some of recommendation/correction which we considered to make the Event more gorgeous and recognizable in future:
• Several conference and meeting should be conducted among the Organizer, supporter, volunteer and other to make the event well designed and co-operative.
• There should be a checklist and all the preparation should be finished a day before.
• Marketing department will be responsible for decoration and product display. • HR department will be responsible for interview booth, collection of CV and look upon the overall management.
• All the stuffs and volunteers should maintain specific dress code. • Professional photographer is recommended.
